How To Ease The Moving Process For Your Current And Future Tenants

By Victoria Robertson on April 28, 2015

The spring semester is drawing to a close, which means students will begin moving out quickly now. Everyone that’s moved out of an apartment on campus before knows that it is unbelievably hectic and never as quick and easy as you want it to be.

On top of all the moving out, the new tenants moving in for the summer will be moving as well. Again, this is never a smooth process.

To help ease this process, here are five things landlords can do to help moving day go as smoothly as possible.

1. Reiterating Move-Out Day

Oftentimes, there is a disconnect between students and their leasing offices. Many students either don’t know when they need to move out of the apartment by or aren’t sure even when their lease is up.

Leasing offices can help students out by not only notifying their students of move-out dates, but also by doing so well in advance, giving students plenty of time to plan ahead. While many leasing offices send out an e-mail a week or two before the date, many students have already been attempting to plan for this process well in advance.

Whether it’s easiest to send out e-mails, post flyers on doors or even talk to tenants directly, this disconnect between students and the leasing office can be bridged very easily, already making the process run that much smoother.

2. Being Clear About The Move-Out Process

On this same note, students will also need to be reminded of the moving out process. While much of this information is covered at the lease signing at the beginning of the year, students will have forgotten details by this point in their lease, and will need reminding.

Again, the best way to do this is probably by e-mail. It can just include basic information, such as when keys should be turned in, what paperwork (if any) needs to be filled out and when, and any other small details that students are likely to have forgotten since the lease signing at the beginning of the year.

The more information you are willing to provide students, the more likely the process is to go off without a hitch. And the sooner you send the information out, the better, as it’s always beneficial to plan ahead.

3. Allowing Students Plenty Of Time To Move Out

Another problem many students encounter is the lack of time they are given to get out of the apartment. They not only have to work around their own schedules, but around the schedules of their family as well, or anyone else that may be helping them move out.

Giving a timeline well in advance as to when students should be out of the apartment is the best way to sidestep this problem. Also, to make sure that the students are given plenty of time to do so, as a smaller window doesn’t always work for everyone’s busy schedule.

4. Allowing Plenty Of Time To Prepare Apartment For New Tenants

Another problem that comes about when moving out and in to apartments falls on the leasing office: preparing for new tenants. Landlords need to keep in mind there needs to be plenty of time for old tenants to move out, for the apartment to be prepared in time for the new tenants, and for the new tenants to move in, all before the summer session begins.

Again, reiterating all dates/aspects of the moving out process to old tenants will help to make sure they are out in time, and also scheduling these dates so that there is plenty of time to get apartments cleaned and ready for new tenants (even if something goes wrong).

5. Being In Contact With New Tenants

Finally, it’s extremely important that landlords be in contact with the new tenants, especially in case anything should go wrong and move-in days need to be postponed, etc.

Keeping in contact makes it so that students are on board with what’s going on. This way, they know their move-in dates, what the move-in process entails and what they are expected to sign etc. as they move in.

Without this contact, new tenants are moving in blind, and there is often much more confusion than anything else, making this process a complete nightmare.

Moving day doesn’t always have to be something students and parents alike dread. Instead, with help from the landlords and leasing offices, moving day can be far less stressful, and maybe even slightly enjoyable. Maybe.
